Coffee Chat Series #1 – A conversation with Jiahui Yap

The rise of entrepreneurialism and the growing number of young startups in need of working space with minimal rental commitment have seen a boom in a new kind of office rental model – coworking spaces.  It is the idea of members paying to share desks, tables or private rooms alongside other entrepreneurs and creating an open environment fostering creativity and collaboration without worrying about issues like amenities and facilities management.

All this begs the question:  who actually takes care of the physical space of a coworking space?  In this coffee chat series, we sit down with Jiahui Yap, Operations Executive from Collision 8, to learn more about Collision 8 and how things get to run in their workplace.

What does your day to day role entail?

Running operations in a coworking space will never be a walk in the park.  It is a weird mix between running an office and a hotel.

As an Operations Executive, I ensure that our space is a conducive space for our members to do what they do best. Some of this could mean stocking up our pantry supplies to the daily maintenance of our workspace or even ensuring the smooth running of the many community events we host here at Collision 8.

I also work with different members of the team to ensure everything is up and running, solving problems as they crop up and finding long-term solutions to these issues. I work closely with the team from Nimbus to keep all two floors of our space running smoothly and to maintain members’ satisfaction.

What factors did your team consider when coming up with the design of Collision 8?

On a high level, we wanted to build a space that gives our members the freedom to imagine, experiment and create. Location wise, we chose a place with panoramic views of Marina Bay Sands, the CBD, Boat Quay and Fort Canning Park. Within the space, we designed our lounge, library and coworking areas with the aim of making it easy to trigger conversations at every turn. At the same time, we also wanted to give our members the freedom to focus on scaling their business. For this, we built dedicated desk space in the gallery area and private booth for spaces where members who prefer to have quiet concentration and alone time to just solely focus on their business.

What do you enjoy most about your role?  

I enjoy the fact that no two days are the same for me.  Here at Collision 8, we meet interesting people and businesses every day. Connecting these individuals to help them work together and do amazing things is one of the best parts of the job.  Success, to me, is not defined by numbers like revenue, but the ability to solve problems for our members promptly. Sometimes this means getting a coffee machine fixed. Other times, it means working closely with the Nimbus team to give my input on the daily routine cleaning schedule.  Beyond just reactive maintenance, it is good to learn from past issues, plan and put preventive measures in place.

As we expand Collision 8 to another floor and as our needs grow, I also appreciate the Nimbus team putting in a lot of effort to plan the new human resource and task requirements needed for our workspace.

What is the risk of not having a reliable service provider servicing your facility?

It is crucial for me to ensure the quality of the space is in tip-top condition. An unreliable provider negatively affects my ability to do my job well as it takes up more of my time and effort to conduct quality checks.

One of the reasons members pay to use our space is that we eliminate the hassle of them managing the amenities and facilities like in a traditional office. Not working with a reliable service provider, therefore, create unnecessary stress for the team and me.

Working together with Nimbus has helped me to have an ease of mind that space will be operationally ready every morning when the members come to work. When issues crop up in, I can also always depend on their willingness to help.
